What we collect through this website and the Ragtrail Portal, why, and your rights.

1. Who we are

Ragtrail is a brand of OOAK Group, registered in Illinois, USA. For UK operations, the controller of personal data described here is The Vintage Palace Limited, registered in England and Wales, company number 16008259. 2. What we collect

From enquiry forms: name, organisation, job title, email, phone, country and the trade details you enter. From portal accounts: the same, plus a password (stored only as a secure hash), sign-in times, and the documents you upload for verification (KYB), including identity documents of directors and signatories. From trades: shipment documents, photographs, payment references and messages.

3. Why we use it

To answer enquiries; to verify counterparties under our KYB standard and our own legal obligations, including sanctions screening; to run trades you enter into; to resolve claims; and to keep records we are required to keep. Our lawful bases are taking steps at your request before a contract, performing a contract, legal obligation, and our legitimate interest in running a verified marketplace.

4. Who sees it

Ragtrail staff who need it. Your counterparty sees your organisation name, verification status, trade documents and messages for trades you are party to, never your identity documents. Service providers who host our website, email and files act on our instructions. We do not sell personal data or use it for advertising.

5. International transfers

Trades link the UK, USA, Canada, Australia and Pakistan, so data relevant to a trade is shared with a counterparty in another country. We limit this to what the trade needs.

6. How long we keep it

Enquiries that don't lead to an account: 24 months. KYB and trade records: for the relationship plus a fixed period after the last trade, to meet legal record-keeping duties.

7. Your rights

You can ask for a copy of your data, ask us to correct it, object to or restrict some uses, and, where the law allows, ask us to delete it. Write to us at the address above. You can also complain to the UK Information Commissioner's Office (ico.org.uk).

8. Cookies

The website sets no tracking or advertising cookies. The portal uses one essential session cookie to keep you signed in. The 3D page and live tracking map load content from third parties (jsDelivr, Google Fonts, MarineTraffic or VesselFinder), which may log your IP address under their own policies.
